Main Description

The successful candidate will provide full administrative support to the business when required to do so.  Reporting to the Manager, the candidate must

  • Provide a seamless connection from the department to the rest of the business using a variety of business tools
  • Ensure that all communications and promotions are professional and exceed customer expectation in all dealings
  • Day to day administrative functions including taking calls and queries
  • Provide contact and support to all customers, both internal and external
  • Provide high attention to details and records, ensuring accuracy of data entry into our management software
  • Administrative duties including filing, stationary and stockroom management and record scanning
  • Promote the business in a professional manner at all times

The responsibilities of this role include and are not exhaustive of:

Day to day

  • Provide administrative support using various business tools designated to the department
  • Provide a high level of professional customer service, via phone, and email
  • Deal with internal and external correspondence as required
  • Follow the process in place to organise paperwork as required
  • Manage any changes and communicate to the appropriate personnel as necessary
  • Ensure outputs and records are captured on the databases in a timely fashion
  • Ensure stationary records are kept up to date and issue records maintained
  • Build relationships with customers, and offer a professional service as the first point of contact
  • Use of Microsoft Office, Outlook and bespoke packages
  • Post holder will show initiative and be proactive with their ideas – creativity is encouraged!

Entry requirements

GCSE Grade C or above in English & Maths (or equivalent)

Skills Required

  • Good IT skills – able to use simple spreadsheets and Word
  • Proficient with Microsoft Office and other software
  • Good communication – both written and verbal
  • Attention to detail
  • Able to prioritise workload
  • Good telephone manner
  • Able to learn quickly
  • To be e-literate

  • Well presented
  • To be personable and to be able to relate to a range of behaviours and personalities that you will come across in your everyday work environment

Qualifications taken

  • Apprenticeship Standard for Customer Service Practitioner
  • Functional Skills (if required)
  • Regular visits from the College into the workplace
  • Observations and assessments in the workplace
  • End point assessment
  • Ongoing training and support from the employer
